[edit] Meeting Minutes
September 24, 2009
- met with Database Committee. We need to provide them with scans of entire pages, scans of each individual item on the page, and scans of loose objects. They will need an archival image (tiff) as opposed to a jpeg
- Met with Preservation Committee. They will provide us with the resolution and file format to use. We also discussed file naming. We may wish to put some preservation metadata in the file name. They suggested that we put the name of the institution (Simmons) and the name of the creator (Helyer) in the file name. We also discussed the need for having a unique identifier in each file name
- Discussed writing scanning instructions.
- Instructions can be separated into 2 sets: Scanning and Editing
- Since Ben has editing/photo-shop experience, he offered to write the editing instructions
- Gilyana offered to do research on file naming and to compile a list of best practices. We'll review these as a committee and decide upon a system
- Jenn and Marta will write the instructions for the scanning process.
- We discussed the importance of using screen shots in our instructions for the sake of clarity.
October 1, 2009
- Met with John and discussed breaking up the pages for students to digitize. Decided that number of pages will decrease for a student if there are a large amount of loose items within their allotted pages.
- Met with Preservation Committee and were informed that will be scanning 24-bit RGB TIFF files. Discussed some preservation issues with scanning and the use of questionnaires to collect preservation data. Instructions for the questionnaires will be written by the Preservation Committee and included in the scanning instructions.
- Decided that Jenn will go the archives tomorrow and scan the cover of the scrapbook and the first several pages (and their items) to test the instructions as well as to give examples for the other students. She will also get new screen images with the proper bit and file format for the instructions.
- Discussed the best practices for file naming collected by Gilyana and decided how to name files. Marta volunteered to type up the instructions, as well as the initial set of instructions on when to use each set of instructions.
October 8, 2009
- Officially decided that will do the enhancement of images ourselves with the help of several volunteers.
- Easy enhancement will be done by those with less Photo Shop experience, and those, like Ben, with more experience will do the more difficult enhancements.
- Ben will look into calibration software on Simmons computers.
- Marta and Jenn will finish editing the directions.
- Jenn will put up the wiki site for images needing enhancements.

This article has a brief description of how it dealt with multi-page objects within a scrapbook. It sounded like a good idea to me. Basically they made it so that you could click on an object and another page appeared where you could flip through it. Let me know what you guys think:

This link discusses file naming. It may be a little complicated for our purposes, but I think there is some helpful information. Filenaming conventions for managing image collections and image databases - http://www.controlledvocabulary.com/imagedatabases/filenaming.html
